Data Deletion

At Copia Systems, Inc. ("Copia"), we respect your right to control your personal data. This page explains how you can request deletion of your data and what happens when you do.

How to Request Data Deletion

Email privacy@copia.co with the subject line "Data Deletion Request" and include the email address associated with your Copia account. If you want a copy of your data before it is deleted, say so in the same email and we will send you an export first.

Verification

To protect your privacy, we will verify your identity before processing a deletion request. We may ask you to confirm ownership of the associated account, for example by replying from the email address on the account.

What Gets Deleted

Upon a confirmed deletion request, we will permanently delete the following within 30 days:

• Your account profile and credentials
• Connected Facebook/Meta account data and OAuth tokens
• Ad performance data and analytics associated with your account
• AI-generated content and creative assets
• Brand assets and uploaded media
• Campaign configurations and workflow data
• Team member associations (your membership in teams)

What May Be Retained

Certain data may be retained beyond the 30-day deletion window as required by law or for legitimate business purposes:

• Billing records: Transaction history and invoices may be retained for up to 7 years for tax and accounting compliance.
• Legal obligations: Data subject to a legal hold, active dispute, or regulatory investigation will be retained until the matter is resolved.
• Aggregated analytics: Anonymized, non-identifiable usage data that has been aggregated may be retained for service improvement.
• System logs: Security and access logs may be retained for up to 90 days after deletion for fraud prevention purposes.

Facebook Data

When you disconnect your Facebook account in Copia, we delete our access tokens and stop syncing data from your ad account straight away. When you request data deletion, we also delete the Facebook-sourced data we hold, including ad account data, campaign metrics, and audience information. This does not affect data stored on Meta's own platforms. To manage that data, visit Facebook Settings.

Timeline

We process all deletion requests within 30 calendar days of verification. You will receive an email confirmation once your data has been deleted. If there will be any delay beyond 30 days (due to legal holds or technical complexity), we will notify you with an explanation and updated timeline.

After Deletion

Once your data is deleted, you will no longer be able to access your Copia account or recover any associated content. If you wish to use Copia again in the future, you will need to create a new account.
